Assigning reviewers ensures each submitted personal statement reaches the right person for evaluation. Puddin supports both individual assignment and bulk distribution, so you can manage reviewer workload efficiently regardless of cohort size. This page covers assigning submissions, understanding what reviewers can access, and tracking how assignments progress.

Reviewer roles

Puddin has two roles relevant to the review process:
Reviewers cannot send invitations, record formal decisions, or access submissions that have not been assigned to them. If a reviewer needs access to a submission outside their assigned queue, an Admissions Officer must reassign or additionally assign that submission.

Assigning a single submission

Open the applicant's profile

From the Applicants tab, click the applicant whose submission you want to assign.

Find the Reviewer field

In the applicant profile, locate the Assigned Reviewer field in the right-hand sidebar. If no reviewer has been assigned, it shows Unassigned.

Select a reviewer

Click the Assigned Reviewer field and choose a reviewer from the dropdown list. The list shows all users with the Reviewer or Admissions Officer role in your institution’s Puddin account.

Save the assignment

Click Assign. The reviewer is notified immediately by email and the submission appears in their review queue.

Bulk-assigning submissions

For large cohorts, bulk assignment lets you distribute submissions across your reviewing team in one action.

Select the submissions to assign

In the Applicants tab, filter by Status: Submitted and select the submissions you want to assign. You can select all or choose specific applicants.

Open the bulk action bar

With at least one applicant selected, the bulk action bar appears at the bottom of the screen. Click Assign Reviewer.

Choose your assignment method

Select one of the two assignment options:
  • Assign to one reviewer — sends all selected submissions to a single reviewer
  • Distribute across reviewers — evenly divides submissions across two or more reviewers you select from the list

Confirm the assignment

Review the summary (how many submissions per reviewer) and click Confirm. All selected reviewers are notified by email.
Use the Distribute across reviewers option to keep workloads balanced. Puddin divides submissions as evenly as possible and shows you the per-reviewer count before you confirm.

Reviewer notifications

When a submission is assigned to a reviewer, Puddin sends an email containing:
  • The applicant’s name and programme
  • A direct link to the review interface for that submission
  • The review deadline (if set in your cycle settings)
Reviewers also see their full queue when they log in to Puddin — all assigned submissions appear on their My Reviews dashboard.

Reassigning submissions

To move a submission from one reviewer to another:
  1. Open the applicant’s profile.
  2. Click the current reviewer’s name in the Assigned Reviewer field.
  3. Select a different reviewer from the dropdown.
  4. Click Reassign. The previous reviewer loses access to the submission and the new reviewer is notified.
Reassigning a submission removes access for the previous reviewer. Any review notes they added are retained and visible to the new reviewer and to Admissions Officers.

Tracking reviewer workload and completion

To see how your reviewing team is progressing:
  1. Go to your cycle and click the Review tab.
  2. Select Reviewer Overview to see a table showing each reviewer’s assigned submission count, how many they’ve marked as reviewed, and how many are still pending.
You can click a reviewer’s name to see their specific submission queue and identify any submissions that have been sitting unreviewed for a long time.
